    1. What is LionWAP Group Email? - Top

    LionWAP Group Email is a way for Lions Organizations to create private on-line email lists to protect the security of it’s members from viruses and provide the members with more internet privacy. Email is generated from the Group Email page in TEXT only and distributed to individual members separately. - Updated: October 17, 2001

    2. How does the LionWAP Group Email get started? - Top

    The Group Email is a feature that is a part of your Lions Club’s web page at LionWAP. It uses the same Username and Password that the Webmaster uses to maintain the web page. Members do not have to know the password, they simply provide their Webmaster with their email addresses, birthday and other comments. - Updated: October 17, 2001

    3. How does the Webmaster add an email address? - Top

    The webmaster goes to the form at http://group.lionwap.org and enters the Web page Username, Password. Then checks the “Admin” checkbox and clicks on the “Enter Group” button.

    From the Group Email Menu, the Webmaster selects “Add Member”, then fills out the form as indicated.

    4. How does the Webmaster delete or change an email address? - Top

    Again, the Webmaster enters the Group Email Menu and selects “List Members”. From the member list, the Webmaster may choose to Delete or Edit a Member. - Updated: October 17, 2001

    5. How does the Webmaster add a link to Group Email on their web page? - Top

    The Webmaster adds some simply HTML code to the Activities or Announcements field, which provides a link to their groups email page.

    6. Can a member join or delete themselves on their own? - Top

    No, all Group Email maintenance is done by the Webmaster, or other member of the Group that has the password. It is important that several club leaders have maintenance privileges at the website, so that the club can grow in it’s internet presence. - Updated: October 17, 2001

    7. How does someone use the Group Email to send a message? - Top

    From the login screen at http://group.lionwap.org, any group member can simply click on “Click Here To Send Group Mail” without entering a username or password. From the “Mail To Group” page, the member must use the Email Address that is used as a Group Member to use the system. The member must also use the first TWO letters of the Group’s password in the Group ID field to use the system. Webmasters should provide this two letter Group ID to members of the group. This form of communication should be utilized by everyone in the group, and not just the leaders.

    8. How does the Webmaster get Lions to join? - Top

    This is “Lions Business” and it should be treated as such. I recommend that the Webmaster be given a segment on the agenda of a regular meeting to discuss the system. A sign-up form should be passed around to collect the Name, Email Address, Birthday and Comments. The Webmaster should discuss getting additional information, meeting reminders and other news by email. A hard copy of this FAQ section may be distributed.

    Information about the Club’s web page should be included in the Club’s brochure and other documents that are given out to new members. This can now be updated to describe the club’s use of the LionWAP Group Email system. New members will be thrilled that your club is using the internet to keep in touch and has a web page.

    9. Some Tips on using the LionWAP Group Email - Top

    The Webmaster and Club leaders should encourage that this system be used on a regular basis. Do not expect everyone to be interested in getting email. Do not expect that members will prefer this over mailed notices. Someday, those ideas may be accepted, so that the regular mailing can be reduced.

    Email information at least 3 days before an event. Email is not read every day by many people, so it is not instant. Use email to enhance information that is already distributed.

    Suggest to your members that this system should be used first for Lions business, and for matters that build friendships between your members. Birthday and wedding announcements, illness and death notices are encouraged. Messages should be written as if you are speaking to the group and not individuals. For example:

    “Happy Birthday Lion Jim” – is a personal message
    “Hey everyone, it is Lion Jim’s Birthday tomorrow. Happy Birthday” – is for the group.

    The idea of this system is to help Lions communicate, but also to make it all more fun. Hopefully, your club’s tail twister will be using the system too!

    While the system should not be used for non-stop Jokes and other silly activities, but I do suggest that a riddle, joke or other fun activity be added to the end a message of importance. The group should avoid TOO MUCH email, and use it on a weekly basis, rather then sending many messages per day. The members that read their email infrequently will drop off the list, which defeats the whole purpose.
